BOOKING CONDITIONS AND PRIVACY POLICY


BOOKING CONDITIONS
Your holiday or flight is covered by the booking conditions of the relevant Tour Operator or Airline.
These booking conditions will vary by supplier.
Please read these booking conditions carefully . They can be found in the relevant Tour Operators brochure or on the Airline/Tour Operators website. Should you require clarification of these booking conditions please contact us at: mail@vacationtravel.co.uk

CANCELLATIONS
Please note there will always be a cancellation charge should you decide that you no longer require your booking. This may sometimes be 100% of the booking cost. Please ensure you are fully aware of the suppliers policy on cancellations before confirming your booking.

CONFIRMATION OF YOUR BOOKING
When you have successfully completed your booking we will immediately email you an order confirmation. Please use the order confirmation number during any communication with us. When all payments have fully cleared we will also email you a booking voucher.
Should your credit card payment fail for any reason we will advise you immediately. Occasionally bookings need manual intervention from us and you will therefore be advised that they are pending until such times as we confirm your order.
For those bookings which require a deposit only at the time of booking, we will email you a reminder when the full balance is due. Please ensure that you advise us should you change your email address.
Please note that deposits are not refundable.

CHANGES TO YOUR BOOKING
Correct information should be given at the time of booking. Please ensure that names are as per your passport. Any changes made to your booking may incur an administration fee and an increase in fare. This is dependent on the prevailing rules of the airline/tour operator at the time of change.

PRICES
All prices displayed on this website are those supplied directly from the tour operator/airline. The final cost may vary from that advertised as a result of increases in airport security charges, local taxes and the introduction of fuel surcharges.  Some suppliers take full payment at the time of booking others may take a deposit. This will be detailed to you during the booking process.

ACCURACY OF INFORMATION ON THIS SITE
We endeavour to be as accurate as possible in the information we provide on our website. The information is taken directly from the operators’ website. We therefore cannot be liable for any price changes and losses or damages you may suffer arising out of your use of the information on this website.

TRAVEL DOCUMENTS
Tour Operators normally issue travel documents 2 – 3 weeks prior to departure. All documents should be checked carefully. If your booking is for travel within 2 weeks there may be a small additional fee for arranging for your documents to be picked up at the airport. Most scheduled airlines ( including budget airlines) are now ticketless.  You will need a printout of your booking including your booking reference as well as a valid passport and visa if required. It is important that your travel documents match the names on your reservation and passport.

PASSPORTS
In order to ensure compliance with Immigration and other governmental authorities it is your responsibility to travel with a valid passport, and any necessary visas where required.
All customers must be in possession of a full 10 year British or EC passport. It must be valid for at least 6 months after your intended date of return. Please note that if the photograph in your passport appears damaged it may not be accepted.

VISAS
The following applies to British and EC passport holders. Visas are required to be purchased in advance for certain countries, including Egypt and India. Other countries including Turkey require tourist single entry visas to be purchased on arrival. If you are not travelling on a British or EC passport, other rules may apply. Please check with us for advice by emailing mail@vacationtravel.co.uk or contact the embassy of the country you are travelling to.

HEALTH REQUIREMENTS
Health regulations are subject to change. Please check with your own doctor before departure. Further information is contained in the DOH leaflet T4 (Health Advice for Travellers), available from your local DOH office. Further information can be found at www.doh.gov.uk. It is your responsibility to ensure that you hold the correct documents with regards to passport, visas and health regulations. Any cost incurred in obtaining such documentation must also be borne by you. The information given is for British passport holders travelling on holiday. Non-British passport holders and people travelling on business should check with the relevant embassy for details.

BAGGAGE
Cabin baggage (hand baggage) allowances and hold baggage allowances vary from operator to operator and airline to airline. Please ensure you check exactly what your baggage allowances are to avoid excess baggage charges at the airport. Please also make sure you are aware of restrictions on items carried in your cabin/hand baggage these include but are not limited to sharp items.

SPECIAL NEEDS AND MOBILITY ASSISTANCE
Each Airline and Tour Operator has different rules governing special needs and mobility assistance. For example some airlines may have a quota that they need to maintain. Please ensure you have contacted the relevant operator prior to booking to ensure they can accommodate your needs. Failure to do so may mean you will incur charges to cancel your booking or change it.

TRAVEL INSURANCE
It is highly recommended that you have personal travel insurance for your booking, to cover you for costs associated with delays and other travel mishaps. For a comprehensive quote please contact us on: 08712 220 220

BOOKING SEATS
This must be done directly with the supplier. Please note there may be a charge for this.

REFUNDS
The rules and regulations relating to refunds vary depending on the supplier. For clarification please refer to the suppliers website or brochure.  Alternatively you can contact us daily on  08712 220 220 9am – 7pm. Please note deposits are non refundable.

COMPLAINTS & DISPUTES
Should you have any complaints which cannot be resolved locally with the supplier – please put it in writing to us within 28 days and we will try to investigate on your behalf.  9am – 7pm.

OUR LIABILITY
We act only as a booking agent and have no liability for any aspects of the arrangements. In particular, have no liability for any death, personal injury or loss of whatever nature you may suffer. The contract and all matters arising from it are governed by English Law and subject to the jurisdiction of the courts of England and Wales.

PRIVACY POLICY
In order to process your booking and to ensure that your travel arrangements run smoothly and meet your requirements we need to use the information you provide such as name, address, any special needs/dietary requirements etc.

We take full responsibility for ensuring that proper security measures are in place to protect your information in our care. We must pass the information on to the relevant suppliers of your travel arrangements such as your tour operator, airlines, hotels, transport companies etc. The information may also be provided to security or credit checking companies, public authorities such as customs/immigration if required by them, or as required by law.

Additionally, where your holiday is outside the European Economic Area (EEA), controls on data protection in your destination may not be as strong as the legal requirements in this country. We will not however, pass any information onto any person not responsible for part of your travel arrangements. This applies to any sensitive information that you give to us such as details of any disabilities, or dietary/religious requirements. (If we cannot pass this information to the relevant suppliers, whether in the EEA or not, we cannot process your booking. In making this booking, you consent to this information being passed on to the relevant persons.)

Usually your tour operator or other principal will pass this information onto their suppliers once we have provided it to them. The tour operator or other principal's use of your information is subject to their policy, both in respect of your booking and any future marketing, and is their responsibility. Please ask either us or them for a copy of this if you would like to see it.
